Samples of Writing a Letter of Complaint

You live in a room in college which you share with another student. You find it very difficult to work there because he or she always has friends visiting. They have parties in the room and sometimes borrow your things without asking you.

Write a letter to the Accommodation Officer at the college, express mild complaints and explain why you have to ask for a new room next term. You would prefer a single room. Explain your reasons.

You should write at least 100 words.

You do NOT need to write your own name or address.

Sample

Dear Sir/Madam.

I am writing to you in order to be allowed to change my accommodation next year.

I have lived in the college dormitory for almost a year. I have shared the room with another student of the college. At the beginning of the study year everything was fine until my roommate had found a lot of new friends. They are very nice and sociable people, but their style of work and study is quite different from mine.

Each time I have to prepare my home assignment, they distract me by listening to music, moving and singing to it. What is more, they are always taking my things without even mentioning about it to me. They even happened to break my mobile phone. All these make my staying here unbearable, and my study results worsen.

I am rather a reserved person, who need a separate room for better concentration and study success.

Would you be so kind as to allocate a single room for me next term?

Write a letter to a manager of a company which provided you with bad service. Explain how rudely a commercial traveller behaved and what made you complain. Ask for sooner amicable solution to the situation.

Dear Sir/Madam,

I am writing today to complain of the poor service I received from your company on June 12, 2008. I was visited by a representative of That Awful Company, Mr. Madman, at my home on that day.

Mr. Madman was one hour late for his appointment and offered nothing by way of apology when he arrived at noon. Your representative did not remove his muddy shoes upon entering my house, and consequently left a trail of dirt in the hallway. Mr. Madman then proceeded to present a range of products to me that I had specifically told his assistant by telephone I was not interested in. I repeatedly tried to ask your representative about the products that were of interest to me, but he refused to deal with my questions. We ended our meeting after 25 minutes without either of us having accomplished anything.

I am most annoyed that I wasted a morning (and half a day's vacation) waiting for Mr. Madman to show up. My impression of That Awful Company has been tarnished, and I am now concerned about how my existing business is being managed by your firm. Furthermore, Mr. Madman's inability to remove his muddy shoes has meant that I have had to engage the services, and incur the expense, of a professional carpet cleaner.

I trust this is not the way That Awful Company wishes to conduct business with valued customers—I have been with you since the company was founded and have never encountered such treatment before. I would welcome the opportunity to discuss matters further and to learn of how you propose to prevent a similar situation from recurring. I look forward to hearing from you.

Ideas for writing

Faulty Delivery

You ordered an oak desk and for your study. When you arrive home, you find the furniture has been delivered in your absence, but the desk is not the color you ordered.

Write a letter of mild complaint to a shop manager.

  • say when you were in the showroom , who took your order, what color desk was ordered;
  • where were you when the desk was delivered;
  • ask to receive a replacement for another desk.

You ordered a box of stationery for your office. You received your order within one week, but there were not all the ordered items in the delivery.

  • say when you made your order;
  • what items your ordered;
  • what was short in delivery;
  • ask to send the necessary items in addition.

Damaged Goods

You ordered a mirror through the mail order catalog, but when it arrived it was shattered into pieces.

  • say when you made your order and what you ordered;
  • suggest what might have happened to cause the damage;
  • offer to receive a replacement for another mirror;
  • suggest paying for another delivery on firm.

Poor Facilities or Equipment

The poor conditions of the playground equipment outside your apartment have recently caused an accident. Write a letter to the City Council to express your dissatisfaction.

  • say what happened, when an accident happened;
  • describe the condition of the playground in detail;
  • make a request for taking immediate measures.

Poor Service

You have recently had a tap in your bathroom fixed. After two days you discover that the tap was still leaking.

  • say when a plumber came, how much you paid for the service;
  • explain the problem;
  • ask to re-fix the tap on the repair company.
